The organization was paralyzed by disparate legacy spreadsheets, paper visa packets, manual DS-2019 form processing, and convoluted multi-month email chains between international applicants, overseas agents, US sponsors, and host employers, resulting in lost documents, compliance bottlenecks, and delayed visa approvals.

What was implemented and how it was implemented
Step-by-Step Technical Execution
We developed an enterprise web application with dedicated portals for candidates, host employers, international partner agencies, and internal program coordinators. The frontend was built in React, delivering step-by-step document upload wizards with client-side image compression and validation checks. We built a backend in Ruby on Rails that automates the applicant vetting lifecycle: from initial English proficiency testing and video interview uploads, to automated matching with hospitality host jobs. We integrated the DocuSign API to automate the legally binding signature collection for sponsorship agreements and training plans (DS-7002), cutting document turnaround from three weeks to less than 24 hours. Automated alert triggers notify coordinators of approaching visa expiration dates, mandatory check-ins, and housing verification milestones, ensuring continuous regulatory compliance.
